Executive Assistant

Position Overview:

The Executive Assistant is a critical team position for NYSN that provides high-level administrative support to the Executive Director, managing their calendar, handling correspondence, coordinating travel, and performing various tasks to ensure efficient operations, allowing the Executive Director to focus on strategic initiatives and organizational leadership, all while upholding the mission and values of NYSN.


This role reports to the Executive Director. NYSN is based in New York City with the scope of work covering the entire state of New York.

Job Responsibilities:
  • Work with the Executive Director and provide high level administrative support on task management, document management, and other logistical support.
  • Support the Executive Director and Chief of Staff with calendar management by setting meetings, appointments, and conferences, managing conflicts, and sending reminders. Coordinate on-site and off-site meetings, including tech support, supplies, food, and beverages.
  • Manage scheduling, attendance, and agenda preparation for all executive and staff meetings. Answer phone calls, screen emails, take detailed messages, and respond to inquiries on behalf of the Executive Director.
  • Manage travel arrangements including booking flights, hotels, and transportation, preparing itineraries, and managing travel documents.
  • Prepare reports, presentations, and correspondence, organize and file documents, and ensure accuracy in this role.
  • Track, process, and submit expense reports, reconcile invoices, and provide regular updates so that the executive team can effectively manage budgets.
  • Set up meeting rooms, prepare agendas, take minutes, and follow up on action items for all meetings in support of Executive Director.
  • Manage office supplies, coordinate office services, and maintain a professional work environment.

  • Manage technology maintenance, including technical support.
  • Plan and execute staff luncheons and other special occasions (i.e. birthdays).

Development Director

Position Overview:

The Development Director is a senior leadership team position for NYSN that is responsible for managing the organization's fundraising efforts and relationships with donors, foundations, and donor advisors.

This position reports to the Executive Director. NYSN is based in New York City with the scope of work covering the entire state of New York.

Job Responsibilities:

Fundraising

  • Develop and manage annual fundraising strategy; including planning and executing fundraising events, engaging with funder cycles, and assessing strategy effectiveness, implementing revisions to improve outcomes at every opportunity.
  • Plan and execute strategic fundraising efforts with a focus on building relationships with new and existing donors and foundations.
  • Develop and execute a fundraising plan that includes individual donor development, with an emphasis on family offices and family foundation giving.
  • Develop and execute a fundraising plan for Jewish and Community foundations.
  • Develop and implement a pitch process for Board members and C-Suite prospects.
  • Report fundraising results to key stakeholders, in collaboration with Executive Director and Chief of Staff.

Donor Relations

  • Build and maintain relationships with donors, including former donors.
  • Manage the implementation of the development donor database.
  • Develop and manage donor recruitment, recognition, and stewardship processes that include Executive Director and Board participation.
  • Identify foundations with compatible portfolios, develop relationships with program officers and directors, and manage the grant and funding application process.

Staff Management

  • Engage in regular supervision of team members including regular check-ins, performance feedback, and corrective measures when necessary.
  • Ensure staff meet performance metrics and adhere to budget.
  • Actively participate in all staff meetings, retreats, and other activities as directed.

Chief of Staff

Position Overview:


The Chief of Staff is a full-time position that supports and works at the direction of the NYSN Executive Director. This position ensures the Executive Director’s expectations are met or exceeded by every position, program, and project. The Chief of Staff acts at the behest of the Executive Director to guarantee that the organization’s teams are working smoothly together and in a manner that’s true to NYSN’s values; enabling systems of work integration; and ensuring excellence in the management and implementation of NYSN’s mission and priorities.


This position is responsible for coordinating organizational communications including with the Board and staff on behalf of the Executive Director. The Chief of Staff will be responsible for maintaining the company calendar, coordinating Board and Board Committee meetings, coordinating Staff and Staff Committee meetings, coordinating partner and community meetings, taking minutes, managing business systems, and managing other staff/agency meetings. The position will work closely with the Leadership Team (Director level positions) to ensure the Executive Director’s directives are carried out effectively and efficiently.

Job Responsibilities:

Strategy and Project Management

  • Be the primary support to the Executive Director in all strategic and organizational projects. Coordinate cross-organizational priorities and workflows and create systems of work integration for NYSN’s teams.
  • Be proactive in identifying potential issues on projects, outgoing communications, or agenda items of the Executive Director. Identify and initiate solutions in collaboration with the Executive Director.
  • Exercise sound decision-making in service of the Executive Director’s leadership.

Administration & Communications

  • Ensure coordination and organizational effectiveness by prioritizing, scheduling, and managing key internal and external meetings and agendas.
  • Support the workflows of the Leadership Team and coordinate efficient communication within the team.
  • Serve as the Executive Director’s administrative liaison to the Board.
  • Maintains discretion and confidentiality in relationships with all board members.
  • Adhere to and comply with applicable rules and regulations set forth in the bylaws regarding board and committee matters, including the advance distribution of materials.
  • Manage administrative board communications, including organization of board materials, assemble, and distribute the Board packet and corresponding communications pre- and post-meetings.

Executive Support

  • Strategic calendar management including planning and coordinating for the Executive Director. Provide communications support, including drafting letters, summarizing important emails, identifying required responses, writing speeches, handling meeting preparation and follow-up, taking meeting minutes, and performing other tasks that facilitate the Executive Director’s leadership.
  • Work with the Executive Director to schedule and coordinate weekly senior leadership team and all-staff meetings and their corresponding agendas.
  • Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Represent NYSN at meetings and events at the request of and/or on behalf of the Executive Director, capture key takeaways and ensure the Executive Director is up to date on needed follow up actions.
  • Ensure the Executive Director has all information necessary to be fully prepared for all meetings to maximize the Executive Directors time and ensure every meeting is a productive engagement.

Staff Management

  • Provide strategic counsel and day-to-day management for staff to prevent bottlenecks in decision making and process; speed up communication and decision-making process.
  • Work with the leadership team to advance strategic priorities and ensure that they and their teams meet the goals set by the Executive Director.
  • Manage internal communications to prioritize issues and action items that require the Executive Director’s attention or decision making.

Community Education Director

Position Overview

Job Responsibilities

Community Education

  • Plan, organize, and implement community education programs.
  • Oversee the budget, personnel, and marketing for community education programs.
  • Develop and build out training curricula for New York stakeholders.
  • Assess the effectiveness of education programs and curriculum; work with staff to refine programs and curriculum based on these results.
  • Recruit and develop a team of trainers to deliver education programs to community members, partner organizations, and other stakeholders.
  • Supervising all organizational training programs, internal and external, delivering high quality educational content that meets educational objectives for diverse groups and individuals. Serve as lead trainer and content area expert.

  • Represent NYSN in public and ensure that all social media and other communications align with the organization's mission, values, and reputation.

Civic Engagement Manager

Position Overview:

The Civic Engagement Manager is an entry level team position for NYSN that is responsible for developing grassroots support for NYSN and its mission.

This role reports to the Public Affairs Director. NYSN is based in New York City with the scope of work covering the entire state of New York.

Job Responsibilities:

Grassroots Community Engagement

  • Direct engagement with members of grassroots-level political organizations online and in person.
  • Regular attendance at club and other organizations' events and building relationships with key stakeholders.
  • Develop and implement a mentorship program between current elected representatives and NYC residents to increase civic literacy and participation.

Community Partnerships

  • Work with partner organizations to establish relationships within political and community serviced organizations to identify potential candidates.
  • Represent NYSN in public and ensuring any public social media / other communications keep with the organization's mission, values, and reputation.

Communication

  • Work with the Public Affairs Director to assess priorities and overall socio-political landscape of New York.
  • Assist the Director in drafting civic landscape updates for the executive team, especially contributing recommendations and requests from grassroots members and partners.
